Incoming Exchange Officer, Temporary position

Your function

As an Incoming Exchange Officer, you will work closely with colleagues from the Incoming Exchange team, which is part of the Credit Mobility team. This team falls under the International Mobility department and is responsible for facilitating both incoming and outgoing short-term student mobility. You will support our activities with a focus on guiding students from our network of over 200 partner universities who wish to participate in an exchange programme at VU Amsterdam.

Your duties

  • communicate with incoming exchange students on a range of topics via email, phone, and face-to-face consultation hours (in English)
  • assist with various administrative processes, such as our application procedure
  • support students with course selection and registration
  • advise students on practical matters throughout their exchange
  • help with the organization of webinars (held in English)
  • take part in introduction activities and other student-related events
  • help organize the buddy programme and related social activities
  • contribute to maintaining up-to-date and user-friendly information on the website and in newsletters
  • actively contribute ideas to improve student services

Your profile

  • completed education at Bachelor’s level
  • affinity with administrative processes, student advising, information provision, and working in an academic environment
  • experience with SAP SLM or similar administrative software is an asset
  • experience with exchange programmes is an asset
  • strong intercultural and communication skills
  • excellent spoken and written command of both English and Dutch
  • proficiency in MS Office (particularly Outlook, Word, Excel, and PowerPoint)
  • proactive attitude: you take initiative, propose your own ideas, and think critically about process improvements

What do we offer?

A challenging temporary position (maternity leave cover) in a socially engaged organization. At VU Amsterdam, you contribute to education, research and service for a better world. And that is valuable. So in return for your efforts, we offer you:

  • a salary of minimum € 3.218,00 (Scale 8) and maximum € 4.298,00 (Scale 8) gross per month, on a full-time basis. This is based on UFO profile Medewerker Internationalisering 3. The exact salary depends on your education and experience.
  • a position for 0.6-0.8 FTE. Your employment contract will last for 8 months (from 1 September 2025 to 30 April 2026). 

We also offer you attractive fringe benefits and regulations. Some examples:

  • A full-time 38-hour working week comes with a holiday leave entitlement of 232 hours per year. If you choose to work 40 hours, you have 96 extra holiday leave hours on an annual basis. For part-timers, this is calculated pro rata.
  • 8% holiday allowance and 8.3% end-of-year bonus
  • contribution to commuting expenses
  • discount on (and occasionally exclusive access to) theater performances and courses at the Griffioen Cultural Center
  • a wide range of sports facilities which staff may use at a modest charge

International Office

The International Office prepares internationalization policies, advises on them, and provides services to students, foreign guests, and university staff. This vacancy falls within the International Mobility department. The International Mobility department is responsible for promoting the international mobility of students and staff. The department consists of three teams and handles the central applications of international students in diploma and contract education, evaluates foreign diplomas, and processes visa, residence permit, and work permit applications for students and guests/staff. Additionally, International Mobility provides information to VU students about studying abroad, manages various funds and exchange programs, and supports housing needs for international students and guests/staff of the VU.

Student & Educational Affairs
We at Student & Educational Affairs ensure that Vrije Universiteit Amsterdam works like a well-oiled machine. We assist in logistics and help with realising educational programmes; we also aim to create a worry-free and unforgettable university experience for our students. We support students from enrolment right through graduation. We help international students and researchers find their way around VU Amsterdam, for example by arranging housing and other needs. We also work closely with the faculties in developing educational policy and implementing educational improvements. We want students to learn, grow and have fun!
