Administrative Officer

Your function

You will support colleagues at the Aurora Central office in administrative work, partly by helping them manage their administrative tasks, and partly by handling those  tasks yourself when it is more practical or efficient.

Your duties

  • Information management: manage the digital folder system, email contacts, help formatting documents, help conducting online surveys, handle correspondence.

  • Organisation: (help) organise events in Amsterdam and elsewhere, manage office supplies, make travel arrangements.

  • Manage day-to-day office operations and ensure a smooth administrative workflow

  • Coordinate meetings, agendas, minutes, and follow-up actions for senior management and governance bodies

  • Act as a point of contact for external stakeholders, including banks, chambers of commerce, and partner organizations

  • Support digitalization and optimization of office systems and processes, e.g. digital archiving.

Your profile

  • Administrative and practical skills and competence in handling digital documents > 5 years experience

  • Familiarity with banking procedures and chamber of commerce requirements

  • We are looking for people who understand how universities work in terms of policies, strategies and practice and who understand that universities work differently in various countries

  • Fluent in English and Dutch (at least C1 of the CEFR).

  • You are flexible and able to support a small international office team within a diverse international academic community. You understand the broader strategic goals and policy context behind your work and can provide effective support across universities in Europe and beyond.

What do we offer?

  • a salary of minimum € 3.057,00 (Scale 7) and maximum € 3.985,00 (Scale 7) gross per month, on a full-time basis. This is based on UFO profile Management-/Office assistent 2. The exact salary depends on your education and experience.
  • a position for at least 0.8 FTE. Your employment contract will initially last 18 months. Afterwards, the possibility of expansion exists.

We also offer you attractive fringe benefits and regulations. Some examples:

  • A full-time 38-hour working week comes with a holiday leave entitlement of 232 hours per year. If you choose to work 40 hours, you have 96 extra holiday leave hours on an annual basis. For part-timers, this is calculated pro rata.

  • solid pension scheme (ABP)
  • a wide range of sports facilities which staff may use at a modest charge
  • contribution to commuting expenses

Department of University Relations & Fundraising
Strengthening and expanding the ties of the VU Amsterdam community – that’s the goal of the Department of University Relations & Fundraising (DURF) at Vrije Universiteit Amsterdam.
